These terms govern the use of Vaultivo — who enters into the contract, what the service covers, what it costs, and how the contract ends.
These terms govern the use of Vaultivo, an archive for business documents. The provider and contracting party is Aurel-Mihai Botinanț, 1030 Wien, Arsenal Objekt 3/59.
Vaultivo is offered to businesses only. The following declaration is required at registration:
I am entering into this contract as a business — in the course of my trade, business or profession, and not as a consumer.
Entering into the contract as a consumer is not provided for.
The contract is formed on registration in the application. Company name, address and country are required, as are the name and email address of the registering person; a VAT ID is optional.
The declaration under clause 1 is a condition of registration.
Use begins with a free 14-day trial. No payment method is required for it.
Vaultivo accepts documents — through the application or through the email address assigned to the business — scans them for malware, reads text and document data from them, and files them in the archive once confirmed.
No document is archived without confirmation. Every document waits in the Inbox until it is reviewed and confirmed.
The uploaded original is stored unchanged. Versions generated for viewing do not replace it.
The retention periods shown in the application are guidance. Vaultivo provides no tax or legal advice; the business remains responsible for meeting its statutory retention obligations.
To read text and document data, document content is sent to OpenAI Ireland Ltd.; processing also takes place in the United States. The details and the legal basis are in the privacy policy.
No particular level of availability is promised. Operation may be interrupted by maintenance, faults, or work at the service providers used.
No particular response time is promised. Enquiries reach us at the contact address published on this site.
Credentials must be kept confidential. Two-factor authentication is mandatory for accounts with owner and administrative rights.
The email address assigned to the business for document intake must be treated as confidential: anyone who knows it can deliver documents into the account.
Only documents the business is entitled to store may be submitted. The accepted file formats and the ceiling of 30 MB per file are stated in the application.
The prices published on the pricing page apply: a monthly base amount plus an amount per archived document and per gigabyte of storage used. (Pricing)
All prices are net. VAT is added in accordance with the applicable rules.
Billing is monthly through Stripe. Payment details are processed there and nowhere else.
Price changes are notified at least 30 days in advance.
The contract runs for an indefinite period and may be cancelled at any time through the customer portal.
Cancellation takes effect at the end of the current billing period. Until then the account remains fully usable.
After that the archive becomes read-only: documents remain searchable, viewable, downloadable and exportable; no new documents can be archived.
30 days after cancellation takes effect the account is closed. All stored documents and all related data are permanently deleted.
An export of the whole archive can be requested at any time, including while the account is read-only.
If Vaultivo is discontinued permanently, this is notified at least 90 days in advance to the email address held on the account.
Throughout those 90 days the archive stays reachable and readable: documents remain searchable, viewable and downloadable, and the export of the whole archive continues to work unchanged. Clause 4 is unaffected; no particular level of availability is promised during that period either.
The export is how the archive is taken away, and it is the same export as during the contract: the original files unchanged, a document table and a second table for transfer into accounting software, either as an ordinary ZIP or as an archival package with a checksum for every file. There is no separate route for this case, and none has to be set up first.
There is no escrow with a trustee and no arrangement with a successor provider. The backup copy held at a second provider is part of running the service and is not such an escrow: nobody outside Vaultivo is entitled or able to release an archive from it.
It is for the business to secure its archive within that period. After the period ends, access ends and the stored documents and data are deleted.

Where archived documents contain other people’s personal data, the business is the controller and Vaultivo is the processor. The data processing agreement forms part of these terms and is entered into when they are accepted. (Data processing agreement)
Vaultivo is liable without limitation for intent and gross negligence, for injury to life, body or health, and under the Austrian Product Liability Act.
For slight negligence Vaultivo is liable only where an essential contractual duty is breached, and only up to the amount the business paid in the twelve months before the event causing the damage.
Lost profits and indirect damage are not compensated.
The loss of archived documents is expressly not excluded from this. Keeping documents is the main contractual obligation, and excluding liability for precisely that would contradict it. Independently of this, a full export of the archive can be requested at any time.
Changes are notified in advance. Existing customers are not required to accept them again.
The version published on this page, carrying the date above, is the one that applies.
Austrian law applies.
The place of jurisdiction is the competent court at the provider’s registered seat in Vienna.
